This guide walks you through completing your self-evaluation in SuperEval, from setting annual goals through final sign-off. Use the section list below to jump to the part of the process you need. For help with the new AI-enhanced features, look for the sections with the light blue background that include the AI Feature graphic.

Initial Setup (Skip if you have opted out of our AI features)
If you do not plan to use any AI features, there is no initial setup for you to do before beginning your evaluation. Please proceed directly to Step 1. Later in this document, the instructions for AI features will be clearly flagged. Please skip over those sections for your convenience.
For the AI features to tailor the generated responses to your specific job responsibilities, you must provide the system with your Job Description.
To begin, click the AI icon in the top right corner of the page
Click on d. JOB DESCRIPTION
If you have a document with your job description written out, you can upload that here. If not, our service will generate a description for you based on your district’s strategic plan, your job title, and a provided list of Areas of Responsibility or Additional Context that you provide.
If you are generating a Job Description, fill out your areas of responsibility, confirm the job title is correct, and press generate.
Be sure to review the generated Job Profile. As with all AI-generated content, it is not ready for publication and to be used immediately upon generation. It is meant to save you time entering all the specific details. We highly recommend you review all generated content for accuracy and errors before confirming it. Press CONFIRM PROFILE when satisfied.
Press GO TO DASHBOARD to begin your evaluation
Step 1: Annual Goals and Competency Selection
In this initial step, the superintendent and school board work together to set annual goals tailored to district growth and improvement.
- Navigate to your Dashboard
- Select the Evaluation dropdown and select My Self-Evaluation
- Set your Due Dates for each step
- Click on Annual Goals and Competency Selection
- Navigate to Step 1.a
- Click +Add to add additional goals
- For each goal, add a title and description of the goal
Our new AI functionality allows users to generate annual goals in three different ways. You can use any, all, or none of these to craft your goals.
Within Step 1.a, click Intelligent Annual Goals to choose from three options:
1. Suggested Growth Annual Goals
2. Suggested Annual Goals
3. Create Focused Annual Goal
Suggested Growth Annual Goals reviews your previous year's evaluation and suggests areas of growth to focus on this year.
- Click the page numbers and arrows to review the generated goals and select the ones that you want to use on your evaluation by checking the Use this Annual Goal checkbox in the bottom left of the popup modal. Press Insert X Annual Goal(s) once you have selected all the ones that you wish to use.
Suggested Annual Goals references your district's Strategic Plan and your Job Description to suggest goals for the year.
- Click the page numbers and arrows to review the generated goals and select the ones that you want to use on your Evaluation by checking the Use this Annual Goal checkbox in the bottom left of the popup modal. Press Insert X Annual Goal(s) when you have selected all the ones that you wish to use.
Create Focus Annual Goal prompts you to enter an area of focus and then crafts a goal around it.
- Enter a description of the Focus Annual Goal you wish to create and press GENERATE FOCUS ANNUAL GOAL. If you wish to use the generated goal, press SELECT THIS ANNUAL GOAL.
- For each Annual Goal, click the Alignment button (this is an optional step)
- Check the box next to each competency to create a visual alignment between your goal and the specified competency on the rubric.
The Suggest Alignment button will review your goals and rubric to suggest an alignment to any applicable rubric competencies. There are three levels of alignment: Primary, Secondary, and Tertiary.
- Use the arrows along the sides of the popup modal or the page numbers along the bottom to browse the suggested alignments.
- Select the alignments you wish to use with the Use this alignment checkbox in the bottom right corner.
- Press SAVE [X] ALIGNMENTS to confirm your selections and create the alignments.
- Navigate to Step 1.b
- Use the checkboxes to deselect any domains and/or competencies that you and the board agree will not be used as evaluation criteria for this evaluation cycle.
The new Power Competency feature denotes a relationship between a rubric competency and your strategic plan document, similar to how Alignment denotes a relationship between a goal and a rubric competency.
• Click the SHOW POWER COMPETENCIES button to identify your power competencies.
- Press Okay to confirm that the Power Competencies were selected.
- The Power Competencies will be indicated with a lightning bolt icon.
- Navigate to Step 1.c
- Use the toggles to adjust the desired weight for each domain that you are being evaluated on
- Navigate back to the Dashboard
- Ensure there is mutual agreement with the board on the goals, rubric competencies, weights, and score ranges before clicking the Mark Complete button to advance the process to the self-evaluation (Step 2).
Step 2: Superintendent Self-Evaluation
The superintendent conducts a self-evaluation, reflecting on their performance and compiling supporting evidence throughout the year.
- Navigate to your Dashboard
- Click on Superintendent Self-Evaluation
- Throughout the year, continue building your self-review by assessing each individual rubric competency and annual goal
- Select a Rating
- Enter text evidence in My Reflections and Comments
- Upload tangible evidence (documents, images, websites, etc.) in Supporting Evidence
The Self-Evaluation step includes two new AI features for use during your evaluation:
The SUGGESTED EVIDENCE button appears when you expand the Supporting Evidence section associated with each rubric competency. This uses your evaluation rubric and job description to provide a list of possible evidence files you may have available that would be beneficial to include as evidence for the given competency.
The GENERATE NARRATIVE button uses your provided reflections and comments and, optionally, the contents of your evidence files to draft a reflective narrative around your performance in this competency area. Note: The quality and level of detail that is provided are reflected in the narrative generated.

Once you have selected a rating, attached your Supporting Evidence, and added your Reflections and Comments, click on GENERATE NARRATIVE. SuperEval’s AI feature will generate a reflective narrative based on your provided information and the rubric itself.

Ensure the boxes are checked for Current Reflections and Comments and Supporting Evidence if you would like them to be used in drafting the narrative reflection, and select a target word count for your narrative with the Word count not to exceed: field. Press Generate Narrative.

Review the generated narrative for any inaccuracies or necessary manual changes and to make sure that it properly reflects the desired narrative. Press USE THIS NARRATIVE when you are satisfied (further editing is also possible after using the initial narrative).
- Repeat this for each rubric competency until your evaluation is complete.
- Once you are ready to submit your self-evaluation to the board, navigate back to the Dashboard and click on SUBMIT TO BOARD REVIEW.
The Mid-Year Review (Optional)
Once your self-evaluation is complete, you can submit it for a mid-year review at any time. The Evaluation Progress does not need to reach 100%. If you are finished with your responses, you can proceed with the mid-year review. To do so, select the YES, SUBMIT TO A MID-YEAR REVIEW button when you mark Step 2 complete.
- To leave your own mid-year evaluation document, click on the Overall Evaluation tab at the end of the Evaluation Progress section of your dashboard
- Scroll to the bottom of the page to locate the Shared Documents section
- Upload your Mid-Year Review document via the file uploader (click to select a file, or drag and drop one into the uploader box)
- You may also review any documents added here by the Trusted Agent (typically the board president), who acts as the primary evaluator for this evaluation
- The Board President/Trusted Agent will mark the mid-year evaluation complete and your Self-Evaluation will be editable once again. After making any necessary updates, you will need to submit your evaluation for a year-end review to proceed.
Step 3: Board Review and Evaluation of the Superintendent
The school board reviews the superintendent's self-evaluation and conducts an independent evaluation.
- No action is needed from the superintendent during this step
Step 4: Consolidate Evaluation Data from the Board
SuperEval automatically combines evaluations from all board members into one consolidated evaluation with the superintendent's evaluation, while allowing the Trusted Agent (typically board president) to make any necessary changes to this consolidated evaluation.

Step 5: Proposed Board Evaluation: Final Review and Sign Off
The superintendent and school board president conduct a final review, and both parties provide digital signatures to complete the evaluation. The evaluation is stored in a digital archive that can be accessed at any time.
- Navigate to your Dashboard
- Click on Proposed Board Evaluation: Final Review and Sign Off
- Click on the Superintendent Comparison with the Board Consolidated Evaluation Data dropdown to view a comparison table showing where the superintendent and board aligned on each rubric competency and goal performance rating
- Click on View Board Evaluation Feedback to view the final proposed evaluation with ratings and comments from both the superintendent and board
- Click Sign to electronically sign the evaluation (the board president cannot sign the evaluation until after the superintendent has done so)
Accessing Final Evaluation Documents
Once the evaluation is complete, the superintendent and all board members will see three buttons at the bottom of their Dashboard:
- Click VIEW EVALUATION FEEDBACK to see the final evaluation in its online format
- Click VIEW FINAL EVALUATION to see the final evaluation document as a PDF (this is a summary of the evaluation and is the document that can be made available to the public, if necessary)
- Click EXPORT FINAL EVALUATION to download a ZIP file containing the Final Evaluation (summary), comprehensive Final Evaluation, and all attachments (board president and superintendent only)
Our Observed Best Practices
In our experience, the districts that report the most success using SuperEval for their evaluations tend to adhere to the following guidelines:
- Make SuperEval usage a recurring, year-long task.
For most users, this means a weekly check-in to potentially add any new files that can be later used as evidence for when the time comes to fill out their evaluation. Users find this helps them remain mindful of their goals and evaluation, present more comprehensive and complete information, and save them time when compared to hunting down their evidence files at the end of the school year.
- Ensure your due dates are accurate
SuperEval’s reports and email notifications are based, in part, on the defined due dates in the system for your evaluation. Email reminders are much more effective at driving progress and ensuring timely completion of your evaluations when based on an accurate timeline of expectations. Additionally, reporting will be more accurate if the due dates are properly maintained.
