This guide walks you through completing the employee or administrator evaluation in SuperEval, from collaborating on annual goals through final sign-off. Use the section list below to jump to the part of the process you need.

Step 1: Administrator's Goals and Competency Selection
In this initial step, the employee or administrator and the evaluator collaborate to establish annual goals that reflect the school's growth priorities and align with district performance targets.
If you would like to deselect any domains and competencies from the evaluation, follow these steps;
- Navigate to your Dashboard
- Select the Evaluation dropdown and select Administrator's Evaluation
- Click on Administrator's Goals and Competency Selection
- Navigate to Step 1.b
- Use the checkboxes to deselect any domains and competencies you do not want included in the evaluation
The new Power Competency feature denotes a relationship between a rubric competency and your strategic plan document, like how Alignment denotes a relationship between a goal and a rubric competency.
- Click the SHOW POWER COMPETENCIES button to identify your power competencies.
- Press Okay to confirm that the Power Competencies were selected.
- The Power Competencies will be indicated with a lightning bolt icon.
- Navigate to Step 1.c
- Use the toggles to adjust the desired weight for each domain included in the evaluation
Step 2.a: Administrator's Self-Assessment
The employee or administrator conducts a self-evaluation, reflecting on their performance and compiling supporting evidence throughout the year while the evaluator does the same.
- No action is needed from the evaluator during this step
Step 2.b: Administrator Reviewer's Evaluation
The evaluator independently assesses the employee or administrator, either from a blank template or by referencing their self-assessment, while both parties conduct their evaluations simultaneously.
1) Navigate to your Dashboard
2) Click on Administrator Reviewer's Evaluation
3) Click START EVALUATION to begin your evaluation of the employee or administrator
4) Choose to start your evaluation from a blank form or have it automatically pre-populated with the employee or administrator's responses
5) Throughout the year, assess each individual competency and annual goal
- Provide a Rating
- Submit text evidence in My Feedback and Comments
- Submit tangible evidence (documents, images, websites, etc.) in Supporting Evidence
- Click on [Employee or Administrator's Name] - Reflections and Evidence to view their responses
- To conduct a Mid-Year evaluation, click on the Mid-Year Evaluation Tab of your evaluation. This is an optional step that many users will not be using. Please skip to Step if you are not performing a mid-year evaluation.
- Select the In Progress radio button, and enter your Mid-Year Comments
- When you are complete, you will be able to meet with the evaluatee and discuss their mid-year reflections and progress. If you plan to hold such a meeting, select Ready for Review, until the meeting is completed. Once the meeting has been concluded, or if you do not plan to meet during the mid-year process, select Completed
- To conduct a Mid-Year evaluation, click on the Mid-Year Evaluation Tab of your evaluation. This is an optional step that many users will not be using. Please skip to Step if you are not performing a mid-year evaluation.
The new AI feature set enables evaluators with two tools to assist with filling out their evaluations.
GENERATE NARRATIVE uses the feedback provided, as well as evidence files to draft a reflective narrative for the competency you are rating.
- Input your Feedback and Comments. An abbreviated form is fine here, as you are simply providing information for the AI tool to use in crafting the narrative.
- Attach your Supporting Evidence files with the +ADD button.
- Press GENERATE NARRATIVE
- Select the sources you want to be used in your reflective narrative, as well as the target word count for your narrative and press GENERATE NARRATIVE
- Review the generated narrative for any inaccuracies or necessary manual changes and to make sure that it properly reflects the desired narrative. Press USE THIS NARRATIVE when you are satisfied (further editing is also possible after using the initial narrative).

SHOW VALIDATIONS will provide confirmation or specific feedback as to whether the desired feedback and evidence files were rich enough in detail to yield a high quality narrative.

CHECK SUBJECTIVITY allows you to run a check on your own written Comments and Feedback for any subjective statements or comments that show bias. This is only available for your own written Comments and Feedback, anything generated will be absent of any subjective or biased statements.
- Once you fully complete your evaluation, SuperEval will automatically mark it as complete. To mark it as completed before reaching 100%, click Mark Evaluation Complete. This will indicate to the Primary Evaluator that you are finished, regardless of the completion percentage.
- If you are the Primary Evaluator and all evaluators are finished, navigate to your Dashboard and click Mark Complete to advance to Step 3 and compile all evaluations
Step 3: Administrator's Consolidated Evaluation
SuperEval automatically consolidates the self-assessment and the evaluator's evaluation into a single document, allowing the evaluator to make any necessary changes to the final evaluation.
- Navigate to your Dashboard
- Click on Administrator's Consolidated Evaluation
- Click View Consolidated Evaluation to edit the consolidated evaluation
- Select the Edit dropdown and click Edit Evaluation to make changes to the consolidated evaluation
Two new AI features are available in this step to assist the Primary Evaluator with consolidating the individual board members’ evaluations and coalescing them all into a single, thoughtful and reflective evaluation.
- The Executive Summary feature enables the Primary Evaluator to create an actionable overview of the assessment by marrying the rubric’s established methodologies with the findings of the evaluators. This is a standalone section that will allow readers who did not participate in the evaluation process to comprehend the process, as well as its findings.
- Click Executive Summary on the right side of the Evaluation Progress section
- Click Generate Executive Summary
- Click Executive Summary on the right side of the Evaluation Progress section
- After the Executive Summary is generated, you may then GENERATE YEAR END EVALUATOR GUIDE.
- This is a Microsoft Word document derived from the Executive Summary that is meant to serve as an outline for an in-person review of the evaluation process and it’s results. Click the file that is downloaded via your web browser
- Return to the Dashboard and click Mark Complete to finalize the proposed evaluation and trigger the employee or administrator to review and sign
Step 4: Proposed Evaluation: Final Review and Sign Off
The employee or administrator and primary evaluator conduct a final review, and both parties provide digital signatures to complete the evaluation. The evaluation is stored in a digital archive that can be accessed at any time.
- Navigate to your Dashboard
- Once the employee or administrator has signed, click on Proposed Evaluation: Final Review and Sign Off
- Click Sign to electronically sign the evaluation
Accessing Final Evaluation Documents
Once the evaluation is complete, the employee or administrator and the evaluator will see three buttons at the bottom of their Dashboard: VIEW EVALUATION FEEDBACK, VIEW FINAL EVALUATION and EXPORT FINAL EVALUATION.
- Click VIEW EVALUATION FEEDBACK to see the final evaluation in its online format
- Click VIEW FINAL EVALUATION to see the final evaluation document as a PDF
- Click EXPORT FINAL EVALUATION to download a ZIP file containing the Final Evaluation and all attachments
Our Observed Best Practices
In our experience, the districts that report the most success using SuperEval for their evaluations tend to adhere to the following guidelines:

Make SuperEval usage a recurring, year-long task
- For most evaluators, this means a weekly check-in to document observations and add any files that can later serve as evidence when filling out the evaluation. This approach helps evaluators stay engaged with the employee or administrator's progress throughout the year, present more comprehensive evaluations, and save time compared to recalling and gathering observations at the end of the school year.

Ensure your due dates are accurate
- SuperEval's reports and email notifications are based in part on the due dates set for each evaluation. Email reminders are much more effective at driving progress and ensuring timely completion when based on an accurate timeline of expectations. Reporting is also more accurate when due dates are properly maintained. As the evaluator, you can update due dates at any time — keeping them current helps both you and the employee or administrator stay on track.
